Why invoicing matters

An invoice is not just a payment request. It is a legal document that records what was sold, the agreed price, and the terms. Businesses that invoice consistently get paid faster and have fewer disputes. Without proper invoices, you also lose the ability to track what is owed to you and when.

What a good invoice includes

Every invoice should have your business name and contact details, the client's name and address, a unique invoice number, the date issued and the payment due date, a clear list of services or products with quantities and unit prices, the subtotal, any applicable VAT (7.5% if you are VAT-registered), and the total amount due. Including your bank details or payment link on the invoice removes any friction for the client.

Setting payment terms

The most common terms are Net 7, Net 14, or Net 30, meaning payment is due within 7, 14, or 30 days of the invoice date. For new clients, shorter terms reduce your risk. For long-term clients you trust, longer terms can help maintain goodwill. Whatever you choose, state it clearly on the invoice.

Following up on overdue invoices

Most late payments are not intentional. A simple reminder email sent one day after the due date resolves the majority of cases. If payment is still not received after another week, a firmer follow-up is appropriate. You can also charge a late fee if your original invoice stated that policy. The key is to follow up consistently and professionally. Silence does not get invoices paid.
